Community - Hillbrooke Homeowner’s –Meeting Minutes

Mike Mudler Update
On Sunday night, 40+ Hillbrooke homeowners gathered for our annual meeting, and thankfully we had nice weather. For those that missed the meeting, I will post the presentation online for your review. Attached is a short recap of the meeting.
  1. Communication – the board is trying hard to keep everyone informed of issues through a monthly recap of our board meetings. We’ve gotten good feedback on issues we are discussing. You need to be signed up on our website (Hillbrooke.com) to receive the email blasts.
  2. Long-term approach – the board is spending a lot of time on the eight year reserve needs to make sure that our amenities stay in good shape. We hired an architectural firm to complete a reserve study which we handed out at the meeting and discussed at great length.
  3. ACC – remains a challenge for 10-15 homes, and we will remain tough on ensuring that they maintain our ACC standards.
  4. Pavilion – is in the midst of major repairs
  5. 2009 Budget – Our expenses came in $12,000 under budget. We had several events that allowed us to stay under budget (ex; water bill credit of $4,500) and we even financed the new roof our of our 2009 budget (details on the powerpoint).
  6. Pool update – The pool will open on May 8th, and we will be buying new furniture to add to what we already have.
  7. Social Update – Eric Logan reviewed our events from 09 and upcoming plans for 2010. He has also requested help this year. Please contact him if you would like to assist the social committee. Cori McKay also reviewed the children’s events.
  8. The Homeowner of the year was presented to Mike Born for his ongoing work in our neighborhood. This past year he re-built the picnic tables for the pool.
  9. Beverly Miller – presented the Johns Creek ‘Relay for Life’ event scheduled for April 16th.
Proposed Changes to the Hillbrooke Covenants:
We discussed at length the details behind the changes we are proposing to make to our covenants. As we discussed at the meeting, we will be asking for your signature (vote) to make the changes in our initiation fee from $100 to equal the amount of our annual dues. If you move within the neighborhood, you will not be charged with an additional fee. The reason we feel so strongly about this is that our neighborhood is looking at some major repairs in the coming years, and we will need to build our reserves. To illustrate the issue, I have rounded the numbers so they can be easily understood.
  • Over the next eight years, we are looking at $300,000 of needed repairs and updates to our amenities.
  • Our current Reserve projections come to $200,000
  • The $100,000 shortfall will need to addressed by either a.) raising the annual dues by $50 each year b.) an assessment equal to around $400 per household
  • If we pass the amendment to raise the initiation fee, we will raise approximately $50,000 which will still leave use with a $50,000. If passed, it will cut each of our portion of the shortfall in half.
  • 87% of the votes in so far are in favor of the new initiation fees, but we need 2/3’s votes to pass and are short by 60 votes.
  • We have extended the voting for another month, and need your help. Please consider being a street captain to gather votes.
New Board Members:
In 2010, we have two board members coming off the board (Paul Bennett and Julie Johnson). We decided to have 7 board members in 2010 instead of 5 because Cori McKay will be moving some time in 2010. Our bi-laws do not allow us to have 6 board members, which is why we are moving to 7 in the short term.
